Print, Copy, Email, and Fax using Accounting Codes

How to print using account codes.


1.  With your document open, select File > Print or use the keyboard shortcut ctrl +P.



2. In your print preview window, select Black and White for the Color setting and then select Print. You can only select Color if your accounting code is authorized for color, your print job will be deleted if you do not select the correct setting. 



3. After clicking Print, you will be prompted to enter your access code. Ignore the other options and select OK. Your print job will be sent to the printer. 







Using Copy, Email, and Fax features with accounting codes.   


1.  You will also need your accounting code when making copies or when using the scan to email feature. Select either Copy, Email, or Fax from the control panel menu and type in your code and select Done.  




2.  In this step we will focus on the copying. Make sure the Output Color is selected to Black & White. If your accounting code is authorized for color, you will have the option to select color. Proceed with entering the copy quantity and press Start



3. For Email and Fax, you will only need your accounting code to access the menu. There are no color settings to adjust for these 2 features. 


4. Once completed, make sure to select // Reset and then Reset All Apps & Log Out
